This Privacy Policy explains how Pulsar Web Works handles your personal information when you use our website and services. Pulsar Web Works is the trading name of Kyle Colegate, a sole trader based in Tiptree, Essex. In this policy, “we”, “us” and “our” mean Pulsar Web Works, and we are the “data controller” responsible for your personal information.

It applies when you:

  • contact us through our form or our website assistant (Nova); or
  • engage with us in any related way, including enquiries, quotes and project work.

Information you give us

In short: we collect what you choose to give us.

When you contact us — through our contact form, by email, by phone, or via our website assistant (Nova) — we collect the information you provide, which typically includes:

  • your name;
  • your email address;
  • your phone number; and
  • the content of your message or enquiry.

Our website assistant, Nova, lets you ask questions on the site. Messages you send to Nova are processed to answer your enquiry, and we keep a log of conversations so we can follow up and improve the assistant over time. Nova runs on our own systems — your messages are not sent to any third-party AI provider. Please don’t enter sensitive personal information into the chat.

We don’t process special-category (“sensitive”) information, and we don’t buy or collect your information from third parties. Please make sure the information you give us is accurate and let us know if it changes.

Information collected automatically

In short: some technical information is collected automatically when you visit.

Like most websites, we automatically collect certain technical information when you visit — such as your IP address, browser type and settings, device information, operating system, referring pages, and information about how you use the site. This doesn’t directly identify you and is used mainly to keep the site secure and running well, and (with your consent) for analytics. 2. How we use your information

In short: to answer you, deliver our services, keep the site secure, improve it, and meet our legal obligations.

  • To respond to your enquiry and provide the information or quote you’ve asked for.

  • Legitimate interests — to keep our site secure, prevent spam, and improve our website and assistant, in a way that doesn’t override your rights.
  • Legal obligation — where we must process information to comply with the law (for example, keeping accounting records).

4. Who we share your information with

In short: we never sell your data. We use a few trusted providers to run the site.

We do not sell or rent your personal information, and we don’t share it for anyone else’s marketing. We use the following providers to operate our website and business:

  • Fasthosts — our UK web host and email provider. They store our website, our email, form submissions and chat logs on our behalf.
  • Google Analytics (Google) — helps us understand how the site is used. Analytics only runs if you consent via our cookie banner.
  • hCaptcha (Intuition Machines, Inc.) — protects our forms from spam and bots; it processes technical data such as your IP address for that purpose.
  • NitroPack — speeds up and caches our website; it may process technical data such as your IP address to deliver pages efficiently.

We may also disclose information if required to do so by law, or in connection with a sale or transfer of our business.

5. Cookies and tracking

In short: we use cookies, and analytics cookies only run with your consent.

We use cookies and similar technologies to keep the site working, keep it secure, and — with your consent — to measure how it’s used with Google Analytics. When you first visit, our banner lets you accept or decline non-essential cookies, and you can change your choice at any time using the “Cookie settings” link. Full details are in our Cookie Policy. You can also opt out of Google Analytics across all sites using Google’s opt-out browser add-on.

6. Where your information is processed

In short: mostly in the UK; some providers are overseas, with safeguards in place.

Our hosting and email (Fasthosts) are UK-based. Some of our other providers (such as Google, hCaptcha and NitroPack) are based outside the UK, including in the United States. Where personal information is transferred internationally, it is protected by appropriate safeguards, such as UK-approved standard contractual clauses / the International Data Transfer Agreement, or an adequacy decision.

7. How long we keep your information

In short: only as long as we need it.

We keep enquiry details for as long as needed to deal with your enquiry and for a reasonable period afterwards for our records, then delete them. Where you become a client, we keep project and accounting records for as long as required by law (tax records are generally kept for six years). Nova chat logs are kept only as long as they’re useful for responding to you and improving the assistant, then deleted or anonymised. Analytics data is retained in line with our Google Analytics settings.

8. How we keep your information safe

In short: we take reasonable steps to protect it, but no system is 100% secure.

We use appropriate technical and organisational measures to protect your personal information. However, no method of transmission or storage over the internet is completely secure, so we can’t guarantee absolute security. Any transmission of information is at your own risk.

9. Children’s information

In short: our services are for businesses, not children.

Our website and services are aimed at businesses and adults. We do not knowingly collect information from anyone under 18. If you believe a child has provided us with personal information, please contact us and we will delete it.

10. Your rights

In short: you have control over your personal information.

Under UK data protection law you have the right to:

  • access the personal information we hold about you;
  • have inaccurate information corrected;
  • have your information erased;
  • restrict or object to how we use it;
  • data portability, where applicable; and
  • withdraw your consent at any time (this doesn’t affect processing carried out before you withdrew it).

If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the UK regulator, the Information Commissioner’s Office (ICO), at ico.org.uk/make-a-complaint or on 0303 123 1113.

11. Do-Not-Track

Some browsers offer a “Do-Not-Track” (DNT) setting. As there’s no agreed standard for how sites should respond to DNT signals, we don’t currently respond to them. You can control cookies through our banner and your browser settings.

12. Updates to this policy

We may update this policy from time to time. The “last updated” date at the top shows when it last changed. If we make significant changes, we’ll make that clear on this page.
